Job Description:

  • Arrange and manage schedules for business meetings and appointments
  • Organize, coordinate and support meetings, conference calls, logistics and corporate events
  • Collate slide deck, coordinate presentation
  • Solve daily administrative problems and provide clear status and reporting
  • Maintain a proper filing system
  • Handle general administration of expenses
  • Collect, sort and distribute incoming mails
  • Make travel arrangements for staff and guests
  • Manage company vendors and liaise with corporate purchasers to ensure basic office supplies: stationeries, IT equipment, corporate goodies, safety PPE etc.
  • Manage company asset inventory, maintain an internal system to keep track of asset allocation, storage etc.
  • Maintain and update employee’s records and files as required while treating information handled with the utmost confidentiality
  • Support staff on-boarding and departure according to company policy
  • Support basic accounting needs: liaison with finance department, documentation etc.
  • Support the management of company and employees insurances
  • Maintain safety documentation
  • Act as office fire warden
  • Ensure all employees concerned are provided with the necessary personal protective equipment
  • Organize activities to promote a healthy and harmonious workplace


Requirements:

  • At least 7 years of experience in Office administration, facilities management or similar
  • Proficient in administration and office management
  • Good written and communication skills
  • Energetic and able to multi task
  • Able to work independently and as a team
  • Excellent time management and organisation skills
