- Arrange and manage schedules for business meetings and appointments
- Organize, coordinate and support meetings, conference calls, logistics and corporate events
- Collate slide deck, coordinate presentation
- Solve daily administrative problems and provide clear status and reporting
- Maintain a proper filing system
- Handle general administration of expenses
- Collect, sort and distribute incoming mails
- Make travel arrangements for staff and guests
- Manage company vendors and liaise with corporate purchasers to ensure basic office supplies: stationeries, IT equipment, corporate goodies, safety PPE etc.
- Manage company asset inventory, maintain an internal system to keep track of asset allocation, storage etc.
- Maintain and update employee’s records and files as required while treating information handled with the utmost confidentiality
- Support staff on-boarding and departure according to company policy
- Support basic accounting needs: liaison with finance department, documentation etc.
- Support the management of company and employees insurances
- Maintain safety documentation
- Act as office fire warden
- Ensure all employees concerned are provided with the necessary personal protective equipment
- Organize activities to promote a healthy and harmonious workplace
- At least 7 years of experience in Office administration, facilities management or similar
- Proficient in administration and office management
- Good written and communication skills
- Energetic and able to multi task
- Able to work independently and as a team
- Excellent time management and organisation skills
