Job Description

Roles & Responsibilities

Primary Responsibilities :

EXECUTIVE DUTIES

A sharp mind for coordinating and organizing CEOs schedule and internal team schedule.

Diary management and business travel arrangements

Answering and handling incoming emails and calls in a professional and efficient manner

Organizing internal and external meetings and digital conference via Zoom / Microsoft Teams

Monitor and ensure timely submission of CEO CPD with various actuary bodies.

COACHING ADMINISTRATIVE DUTIES

Assist to update Inhouse Team and Coach profiles for tender submission

Assist to source, select and onboard Coaches

Assist to prepare coaching tenders and proposals

Maintain coaching plans

VENDOR MANAGEMENT DUTIES

Supervise IT Vendor / Finance Vendor / Corporate Secretary / HR Payroll Vendor

FINANCIAL DUTIES

Check Carrots Group of Companies monthly Bank Movement Statements against supplier and sales invoices

Check Quarterly Sales Recognition Report against project invoicing schedule

Preparation of Board Resolutions to support financial transactions

HR DUTIES

Annual review & update of HR SOP / Employee Handbook against Employment Act and Company
Organisation Chart

Conduct manpower planning exercise and propose recruitment strategy

Prepare Cost & Benefits analysis for job ad placement channels

Update Job Descriptions and place job ads for vacancies available

Update job ads on Company Website and HR recruitment portal

Review applications and arrange candidate test using Speed Exam portal

Arrange interview for Candidates who pass the test

Issuance of offer letter

Onboarding of New Employees

Work with HR vendor to execute exit process for employee cessation

Conduct Annual HR audit with outsourced HR payroll vendor

REQUIREMENTS

Minimum 5 years experience in Office Managerial role

Proficiency in Microsoft Office Words / Excel / Powerpoint and Microsoft Sharepoint

Experience or knowledge of basic financial administration is essential

Highly developed organizational skills

Possess initiative and pro-activeness

Ability to work in a dynamic environment and manage overlapping timelines for key duties

Outstanding verbal and written communication skills
