Job Description

Scope of Services:

Personnel (1) – Receptionist

1. Manage General Office counter

a. Attend to walk-ins and phone calls

b. Address stakeholders’ queries

c. Provide basic first aid to pupils with minor injuries

2. File notifications/letters issued to stakeholders

3. Manage incoming and outgoing mail

4. Track and replenish first-aid items in General Office

Personnel (2) – Administrative Assistant

1. Coordinate deliveries e.g. directing deliveries to designated venues or contacting the staff in-charge to collect deliveries

2. Sort and distribute items to staff and pupils

3. Manage office supplies and issue stationery to staff

4. Perform ad-hoc administrative tasks such as filing, sorting, photocopying and shredding documents

5. Track and replenish first-aid items in Special Rooms

6. Cover the General Office counter in the absence of the Receptionist and when additional support is required e.g. during dismissal time.

Note: Both deployed personnel are required to sign an undertaking to safeguard official information.

Experience, Skills & Experience:


· Minimum ‘O’ Level or equivalent. Those without ‘O’ Level certification but with relevant experience may also be considered.


· Good interpersonal and communication skills

· Comfortable with working in a fast-paced environment

· Takes initiative and is able to work under minimal supervision

· Resourceful and able to prioritise work demands to meet deadlines

· Good team player

· Good organisation skills

· Proficient in Microsoft Word, Excel and PowerPoint


· Preferably at least 3 years experience in working in a primary school as a Receptionist and Administrative Assistant respectively.

Contract Period: From 18 Mar 2021 to 17 Mar 2022 (or adjusted according to the actual start date after the issuance of LOA)

Personnel to be deployed at the following hours:

Personnel (1) – Receptionist

· Mondays, Tuesdays, Thursdays & Fridays: 8:30am to 5:30pm, inclusive of ½ hr lunch break

· Wednesdays: 9:00am to 5:30pm, inclusive of ½ hr lunch break

· Service not required on Saturdays, Sundays and gazetted public holidays

Personnel (2) – Administrative Assistant

· Mondays, Tuesdays, Thursdays & Fridays: 7:00am to 4:00pm, inclusive of ½ hr lunch break

· Wednesdays: 7:00am to 3:30pm, inclusive of ½ hr lunch break

· Service not required on Saturdays, Sundays and gazetted public holidays

Note: Working hours may be subjected to changes based on school needs. However the total working hours (42 hours per week) will remain the same.
